The Right Size Solutions Custom Scanning Technology

The Right Size Solutions Cloud goes beyond maintaining a secure stable environment in which to house your applications. Right Size Solutions listens to our customers and creates custom software and applications that enable the Right Size Solutions Cloud to enhance and enable your operations.

One such solution is the custom Scanning tool known simply as RSS Scan. Several of our clients were using a variety of scanning software, including PaperPort, in the Right Size Solutions Cloud. The products in use performed as designed and met most of the functional requirements. Still, our customers often expressed frustration with their scanning software and eventually we came to realize many of our customers were adjusting their processes to match the capabilities of their scanning software.

OK, so here’s what we discovered our customers were doing when they scanned:

1. Scanning documents into a folder specified by the scanning software
2. Renaming the document
3. Copying or moving the document to a customer folder

Our clients simply accepted this process as necessary to the storing of scanned documents. When asked how they would like to scan their documents, most said they’d like to name their documents and specify where to store those documents prior to actually scanning the document. They said this would help save hours of work and minimize human errors such as renaming the wrong document or storing a document in the wrong folder.

We also learned that none of our customers who were using Junxure in the Cloud were using the built in scanning tool that is part of Junxure. This tool allows for the user to name the document and then defaults the file location to the Client Folder. However, we discovered that the Junxure scanning tool lacked some of the basic scanning features that were readily available in the scanning software our customers were already using.

A quick conversation with our friends at Junxure revealed that Junxure knew of the shortcomings in their built in scanning tool, and their explanation made perfect sense: They provide a great CRM for RIA’s. They prefer to focus on the core functionality of the CRM, leaving scanning and document management to others who specialize in providing such functions.  

Right Size Solutions was convinced that creating an alternative scanning tool that would meet these basic needs of our clients and one that would integrate with Junxure would be of value to our customers.

Today, through the Right Size Solutions Cloud, our customers have access to a full-function scanning tool, free of charge. Some of the basic functions are:

1. Name the document prior to scanning
2. A familiar Windows File Dialog to select where to store a document
3. Full Integration with Junxure
4. Other key features depending on individual scanners capabilities
   1. Black & White or Color Scans
   2. Duplexing
   3. Custom Resolution
   4. Page Size
   5. Option to Review the document after it has been scanned

Soon to be released new features include:

1. Document Annotations
   1. Stamps
   2. Text
   3. Sticky Notes
   4. Symbols
2. Tracking and storing of the annotations, remarks on who made any annotation, and when the annotation was created or modified
3. Making one or more annotations permanent in a version of the document
4. Personal settings – This will provide each user to save their preferences

The RSS Scan program is a great example of how Right Size Solutions uses and applies technology to help our customers achieve their business objectives and get the most out of their relationship with us.
